How to Train Your AI Chatbot With a Knowledge Base
Your AI assistant is only as helpful as the information you give it. The knowledge base is where that information lives: your services, policies, prices and answers to common questions. A good knowledge base is the single biggest factor in how well your assistant performs.
What to include
- About your business: what you do, who you serve and where
- Services: each service in a sentence or two, plus what you do not offer
- Hours and contact options: when you are open and how quickly you reply
- Pricing guidance: only what you are comfortable sharing, such as starting prices or how quotes work
- Policies: booking, cancellations, returns, warranties
- Frequently asked questions: the questions your team hears every week
How to write it
Write the way you talk to customers. Short sentences work best. Put each topic in its own section with a clear heading, and avoid internal jargon. If something depends on the situation, say so and explain what the visitor should do next.
Where to find the content
Start with what you already have: your website's service pages, your FAQ page, emails you send to customers, and notes from your front desk. Ask your team which questions come up most often, and write down the answers they give.
Instructions vs. knowledge
Keep two things separate. The instructions tell the assistant how to behave: be friendly, say it is an AI, ask for these details, do not give legal advice. The knowledge base holds the facts. Separating them makes both easier to update.
Keep it current
Review your knowledge base whenever your services, prices or hours change, and at least once a month. Read recent conversations and look for questions the assistant could not answer well; each one is a candidate for a new entry.
Test before you launch
Ask your assistant the questions real customers ask, including awkward ones. If an answer is wrong or vague, fix the knowledge base rather than adding more instructions. Accurate facts beat clever wording.
Example entry
Here is how a short knowledge base entry might look for a roofing company:
"Roof inspections: We offer free roof inspections for homeowners in Atlanta, Decatur and Marietta. An inspection takes about 45 minutes. After the inspection we send a written estimate within two business days. We do not inspect commercial roofs."
Notice what it does: it says what is offered, where, how long it takes, what happens next, and what is not offered. Entries written this way give the assistant everything it needs to answer follow-up questions accurately.
One topic per entry
Long documents mixing many topics are harder for an assistant to use well. Break information into focused entries, one per service, policy or common question, and give each a clear title.
